Lyric’s Destinations Travel Group, LLC
Effective Date: August 1, 2026
These Terms & Conditions (“Terms”) constitute the standard booking conditions of Lyric’s Destinations Travel Group, LLC (“LDTG,” “Lyric’s Destinations,” “we,” “us,” or “our”) and apply to all travelers, trip participants, clients, and members of the LDTG Insiders program.
References to LDTG include Lyric’s Destinations Travel Group, LLC, its owners, officers, employees, independent contractors, affiliated travel advisors, agents, hosts, group leaders, travel coordinators, representatives, and assigns, where applicable.
By requesting, booking, purchasing, registering for, or participating in any trip, tour, cruise, vacation, event, travel service, or program through LDTG, you acknowledge that you have read, understand, and agree to these Terms.
1. AGREEMENT & SCOPE OF SERVICES
LDTG provides professional travel planning, booking, coordination, group travel, and related travel services.
LDTG may arrange accommodations, cruises, airfare, transportation, tours, excursions, activities, travel protection, and other travel services provided by independent third-party suppliers.
Unless expressly stated otherwise, LDTG acts as an intermediary between travelers and independent travel suppliers and does not own, operate, manage, or control those suppliers.
Travelers participating in LDTG Insiders acknowledge that membership benefits are supplemental and do not alter these Terms, supplier policies, cancellation rules, payment requirements, or refund provisions.
2. TRAVELER RESPONSIBILITY
The traveler is responsible for:
- Reviewing all invoices, confirmations, itineraries, names, dates, destinations, room categories, occupancy, flights, and other booking details immediately upon receipt.
- Promptly notifying LDTG in writing of any discrepancy.
- Providing complete and accurate traveler information.
- Making all required payments by the stated deadlines.
- Obtaining and maintaining required travel documents.
- Reviewing all supplier-specific terms and restrictions.
- Arriving on time for flights, transfers, tours, cruises, activities, and group events.
- Monitoring communications from LDTG regarding the booking.
Failure to review travel documents or respond to communications does not relieve the traveler of these responsibilities.
3. QUOTES, PRICING & AVAILABILITY
All quotes, rates, promotions, accommodations, airfare, cruise cabins, excursions, and other travel inventory are subject to availability and may change without notice until confirmed by the applicable supplier and required payment has been successfully processed.
A quote does not constitute a confirmed reservation.
LDTG cannot guarantee that a quoted rate or travel component will remain available while a traveler considers the proposal or while payment is pending.
LDTG is not responsible for supplier pricing errors, system errors, expired inventory, currency fluctuations, changes in taxes or government fees, or fare/rate increases occurring before confirmation.
If a supplier identifies a pricing or system error after booking, the supplier’s applicable rules and remedies will govern.
4. DEPOSITS & PAYMENTS
The required deposit or payment amount will be disclosed before booking.
Certain deposits, agency fees, planning fees, administrative fees, consultation fees, membership fees, and other amounts specifically identified as non-refundable are non-refundable once paid or once the applicable service has been rendered.
Amounts paid toward travel services provided by third-party suppliers are subject to the cancellation, change, refund, and credit policies of the applicable supplier and the specific fare, rate, package, or promotion booked.
Unless otherwise stated, a booking is not confirmed until the required payment has been successfully processed and confirmation has been received from the applicable supplier.
Payment schedules provided on invoices or booking confirmations are part of the traveler’s booking agreement.
5. PAYMENT AUTHORIZATION
By submitting a payment authorization, the cardholder authorizes LDTG and/or the applicable travel supplier to process the specific transaction authorized.
Travelers acknowledge that charges related to a single trip may appear under the name of LDTG, a tour operator, cruise line, hotel, airline, insurance provider, or another travel supplier.
Each payment authorization applies to the amount and transaction identified in the authorization.
By authorizing payment, the cardholder acknowledges that they have reviewed and accepted:
- The amount being charged;
- The applicable LDTG Terms & Conditions;
- The applicable supplier terms;
- Cancellation and change restrictions;
- Refundability or non-refundability of the applicable purchase; and
- Any applicable agency or supplier fees.
LDTG may retain electronic authorizations, signatures, booking records, invoices, communications, IP/timestamp records where available, and other documentation related to the transaction.
6. DECLINED, FAILED & LATE PAYMENTS
Travelers are responsible for ensuring that sufficient funds and valid payment information are available when payment is due.
If a payment is declined, rejected, reversed, expired, unauthorized, or otherwise unsuccessful, the booking may become subject to cancellation.
LDTG is not responsible for:
- Lost inventory;
- Canceled reservations;
- Price increases;
- Reinstatement fees;
- Loss of promotional pricing;
- Supplier penalties; or
- Other costs
resulting from a declined, failed, or late payment.
Payment reminders are provided as a courtesy and do not alter the traveler’s responsibility to make payments by the stated deadline.
If payment is not received when due, LDTG reserves the right to cancel the affected booking or travel component in accordance with applicable supplier rules.
7. AGENCY, PLANNING & ADMINISTRATIVE FEES
LDTG may charge consultation, research, planning, booking, change, cancellation, administrative, concierge, or other professional service fees.
Applicable fees will be disclosed before they are charged.
Unless expressly stated otherwise, fees charged directly by LDTG compensate LDTG for professional services and are separate from amounts paid to travel suppliers.
Once the applicable professional service has been performed, such fees are non-refundable to the extent permitted by law.
8. CANCELLATIONS, REFUNDS & TRAVEL CREDITS
All cancellation requests must be submitted to LDTG in writing.
A cancellation is not effective until received and acknowledged by LDTG.
Cancellation penalties are determined by:
- The applicable supplier;
- The specific fare or rate purchased;
- The date the cancellation is received;
- LDTG’s applicable fees; and
- Any special group or promotional conditions associated with the booking.
Supplier cancellation penalties may increase as the departure date approaches and may ultimately reach 100% of the travel cost.
Any refund or future travel credit offered by a supplier is subject exclusively to that supplier’s rules, processing times, expiration dates, restrictions, and availability.
LDTG cannot guarantee that a supplier will issue a refund or credit.
LDTG professional fees that have been earned are not refundable merely because a supplier subsequently cancels or refunds a travel service.
9. TRAVELER-REQUESTED CHANGES
Any request to change a confirmed reservation is subject to availability and applicable supplier rules.
Changes may result in:
- Supplier change penalties;
- Fare or rate differences;
- LDTG administrative or rebooking fees;
- Loss of promotional pricing;
- Loss of previously confirmed inventory;
- Different room categories or accommodations;
- Cancellation and rebooking requirements; or
- New supplier terms and conditions.
Rates and availability are not guaranteed until the requested change has been confirmed and all required payments have been successfully processed.
A request for a change does not guarantee that the requested change can be made.
10. GROUP TRAVEL
Group travel involves special contractual arrangements, inventory commitments, minimum participation requirements, payment schedules, and supplier restrictions.
Travelers participating in an LDTG group agree to comply with the group’s published payment schedule, itinerary requirements, meeting times, conduct expectations, and other trip-specific instructions.
Group inclusions, activities, transportation, amenities, or pricing may depend upon minimum participation levels.
If participation falls below a supplier or contractual minimum, LDTG may modify pricing, inclusions, transportation, activities, or other components when reasonably necessary.
LDTG will communicate material changes when practicable.
Travelers who voluntarily miss an included activity, transfer, meal, excursion, event, or other group component are not entitled to a refund for the unused service unless the applicable supplier expressly provides one.
Travelers arriving or departing outside designated group arrival/departure times may be responsible for arranging and paying for their own transportation.
11. ROOMMATES & OCCUPANCY CHANGES
Pricing based upon double, triple, quad, or other shared occupancy is contingent upon the booked occupancy being maintained.
If a roommate or other occupant:
- Cancels;
- Fails to make required payments;
- Changes rooms;
- Fails to travel; or
- Otherwise withdraws from the reservation,
the remaining traveler(s) are responsible for any resulting single supplement, occupancy adjustment, room-rate increase, supplier penalty, or other additional amount required to maintain the reservation.
LDTG is not financially responsible for a roommate’s cancellation or failure to pay.
Unless expressly agreed otherwise in writing, each traveler is independently responsible for their portion of the booking and any additional amount that becomes necessary because the occupancy changes.
Roommate matching, when offered, is a convenience and does not constitute a guarantee of compatibility.
12. NAME CHANGES & SUBSTITUTIONS
Name changes, traveler substitutions, and reservation transfers are subject to supplier rules.
Some suppliers prohibit substitutions entirely.
Where permitted, substitutions may require payment of supplier fees, fare differences, administrative fees, or other charges.
LDTG does not guarantee that a traveler may transfer a reservation to another person.
13. TRAVEL INSURANCE
Travel protection is strongly recommended for all travelers.
Coverage may include, depending upon the policy purchased:
- Trip cancellation;
- Trip interruption;
- Emergency medical expenses;
- Emergency evacuation and repatriation;
- Travel delays;
- Baggage and personal belongings; and
- Other covered losses.
Travel protection is governed exclusively by the insurance policy and insurance provider.
LDTG does not determine whether a claim is covered and does not guarantee approval or payment of any insurance claim.
If travel protection is offered and declined, the traveler’s decision to decline coverage may be documented electronically.
A traveler who declines travel protection accepts financial responsibility for losses that would otherwise potentially have been insurable.
Travelers are responsible for reading the insurance policy and understanding its benefits, exclusions, limitations, and claim procedures.
14. PASSPORTS, VISAS & ENTRY REQUIREMENTS
Travelers are solely responsible for ensuring that they possess all documentation required for travel, including:
- Passports;
- Visas;
- Entry permits;
- Required authorizations;
- Health documentation;
- Parental consent documentation for minors where applicable; and
- Any other documents required by a destination, airline, cruise line, or government authority.
Travel requirements can change at any time.
Travelers should independently verify requirements applicable to their citizenship, residency, itinerary, and personal circumstances.
LDTG is not responsible for denied boarding, denied entry, delays, cancellation penalties, or other losses resulting from insufficient, incorrect, expired, or missing documentation.
No refund is guaranteed when a traveler cannot travel because of documentation or immigration requirements.
15. HEALTH, MEDICAL & ACCESSIBILITY RESPONSIBILITY
Travelers are responsible for determining whether they are medically and physically able to participate in their planned travel.
Travelers should consult an appropriate healthcare professional when necessary.
Travelers requiring mobility, dietary, medical, accessibility, or other accommodations should notify LDTG before booking whenever possible.
LDTG will communicate accommodation requests to suppliers but cannot guarantee that any supplier or destination can fulfill a particular request.
Travelers remain responsible for medical, emergency, evacuation, and repatriation expenses incurred during travel except to the extent covered by applicable insurance or another responsible party.
16. AIR TRAVEL
Airline schedules, aircraft, seat assignments, routes, and flight numbers are controlled by the airline and may change.
Seat assignments and special requests are never guaranteed unless expressly confirmed by the airline.
Travelers are responsible for verifying flight schedules before departure and arriving at the airport with sufficient time to complete check-in and security procedures.
As a general guideline:
International flights: arrive at least three (3) hours before departure.
Domestic flights: arrive at least two (2) hours before departure.
Airline tickets may be non-refundable and may carry separate change, baggage, seat, and cancellation restrictions.
LDTG is not responsible for missed flights, airline schedule changes, cancellations, delays, denied boarding, baggage issues, or other airline operational decisions.
17. CRUISE TRAVEL
Cruise bookings are governed by the applicable cruise line’s passenger contract and terms.
Cruise lines may modify ports, itineraries, arrival/departure times, onboard programming, or other aspects of a sailing for operational, weather, safety, governmental, or other reasons.
Travelers are responsible for complying with cruise-line documentation, check-in, boarding, health, and conduct requirements.
Failure to arrive before the cruise line’s final boarding deadline may result in denied boarding without refund.
18. HOTELS, ROOM TYPES & SPECIAL REQUESTS
Hotel room categories, bedding configurations, connecting rooms, adjoining rooms, views, floors, early check-in, late checkout, and other special requests are subject to hotel availability and are not guaranteed unless specifically confirmed by the supplier.
Photographs and descriptions of accommodations are representative and may not depict the exact room assigned.
Hotel policies and amenities may change without notice.
19. TRANSFERS, TOURS & EXCURSIONS
Travelers are responsible for reporting to designated meeting points at the stated time.
A traveler who misses a transfer, excursion, tour, or activity because of lateness or failure to follow instructions may be required to arrange alternative transportation or services at their own expense.
Activities may be subject to age, health, weight, mobility, weather, or other restrictions established by the supplier.
LDTG does not control those requirements.
20. ITINERARY & OPERATIONAL CHANGES
Travel itineraries are subject to change.
After booking, changes may become necessary because of:
Weather;
Transportation delays;
Closures;
Supplier decisions;
Operational requirements;
Safety concerns;
Government restrictions;
Local conditions; or
Other circumstances.
Where reasonably possible, LDTG will attempt to provide comparable alternatives, but identical substitutions cannot be guaranteed.
Final trip details and updates may be delivered electronically.
21. FORCE MAJEURE & EVENTS BEYOND LDTG’S CONTROL
LDTG is not responsible for failure, delay, interruption, modification, or cancellation caused by circumstances beyond its reasonable control, including but not limited to:
- Hurricanes and severe weather;
- Natural disasters;
- Fire or flood;
- Epidemics or pandemics;
- Government actions or restrictions;
- Border closures;
- War or armed conflict;
- Terrorism or threats of terrorism;
- Civil unrest;
- Strikes or labor disputes;
- Transportation disruptions;
- Utility or technology failures;
- Supplier insolvency or operational failure; or
- Other extraordinary events outside LDTG’s reasonable control.
When such an event occurs, applicable supplier terms determine whether refunds, credits, rebooking, or alternative arrangements are available.
A traveler’s personal concern, reluctance, or decision not to travel does not constitute cancellation by LDTG or a supplier.
Travel protection is strongly recommended for circumstances that may qualify as covered events under the traveler’s policy.
22. BEHAVIOR & CONDUCT
Travelers are expected to conduct themselves responsibly and respectfully.
Travelers must:
- Respect other travelers, staff, suppliers, and local communities;
- Follow reasonable instructions from group leaders and travel coordinators;
- Take reasonable care for their own health and safety and that of others;
- Comply with applicable laws and supplier policies; and
- Cooperate during emergencies.
LDTG reserves the right, to the extent reasonably necessary to protect safety or the group experience, to discontinue services to or remove a traveler whose conduct is threatening, abusive, dangerous, unlawful, or materially disruptive.
A traveler removed for misconduct is responsible for resulting expenses and is not entitled to a refund from LDTG for unused services except as otherwise required by applicable law or supplier policy.
23. COMPLAINTS DURING TRAVEL
If a problem occurs during travel, the traveler should notify LDTG, the Group Leader, Travel Coordinator, and/or applicable supplier as soon as reasonably possible so that an attempt can be made to resolve the issue.
Waiting until after travel to report a correctable problem may limit the ability of LDTG or the supplier to provide a remedy.
LDTG cannot guarantee a particular resolution from an independent supplier.
24. CREDIT CARD DISPUTES & CHARGEBACKS
Travelers and cardholders should contact LDTG promptly regarding any billing question, cancellation issue, or refund concern so that LDTG has a reasonable opportunity to investigate and address the matter.
Initiating a payment-card dispute does not, by itself, modify the cancellation, refund, or payment obligations associated with a validly authorized transaction.
When responding to a payment dispute or chargeback, LDTG may provide the payment processor, card issuer, supplier, or other appropriate party with documentation relating to the transaction, including:
- Payment authorizations;
- Electronic signatures;
- Acceptance of Terms & Conditions;
- Supplier cancellation terms;
- Invoices;
- Booking confirmations;
- Travel documents;
- Email or electronic communications;
- Proof of services provided; and
- Other relevant booking records.
Nothing in this section limits any rights a cardholder may have under applicable law or payment-card rules.
25. INDEPENDENT TRAVEL SUPPLIERS
LDTG acts as a travel advisor and intermediary for independent suppliers, which may include airlines, cruise lines, hotels, resorts, tour operators, transportation providers, excursion operators, insurance companies, and destination-management companies.
These suppliers are independent entities and are not employees of LDTG.
LDTG does not control the day-to-day operations of independent suppliers and is not responsible for their acts, omissions, errors, delays, service failures, schedule changes, or operational decisions except to the extent liability cannot lawfully be excluded.
26. SUPPLIER TERMS & CONDITIONS
All travel services are additionally subject to the terms and conditions of the applicable supplier.
Travelers acknowledge that supplier terms may include separate:
- Payment schedules;
- Cancellation penalties;
- Change restrictions;
- Refund policies;
- Passenger contracts;
- Baggage policies;
- Check-in requirements; and
- Other conditions.
Where supplier terms govern the travel service being provided, those supplier terms apply to that service.
27. LIMITATION OF LIABILITY
To the fullest extent permitted by applicable law, LDTG shall not be responsible for injury, illness, loss, delay, damage, inconvenience, additional expense, or other loss resulting from the acts or omissions of independent suppliers or circumstances beyond LDTG’s reasonable control.
To the fullest extent permitted by applicable law, LDTG’s liability for claims arising directly from LDTG’s own travel-planning or agency services shall not exceed the amount paid directly to LDTG for the specific professional services giving rise to the claim.
Nothing in these Terms excludes or limits liability that cannot legally be excluded or limited.
28. LDTG INSIDERS MEMBERSHIP
LDTG operates a membership-based travel community known as LDTG Insiders.
Benefits may include:
- Priority access to select group trips or escorted experiences;
- Early announcements or pre-registration opportunities;
- Exclusive pricing, perks, or value-added amenities where available; and
- Invitations to select Insiders-only trips, events, or promotions.
Membership does not guarantee availability on any trip, event, or experience.
Benefits are subject to availability, supplier participation, eligibility requirements, and operational limitations.
Benefits and pricing may vary and may be modified as permitted by the applicable membership terms.
Membership benefits do not override supplier terms, cancellation policies, payment requirements, or refund rules.
Membership fees, where applicable and disclosed as non-refundable, are separate from travel payments.
Participation in LDTG Insiders does not create a partnership, joint venture, fiduciary relationship, or ownership interest in LDTG.
29. NO GUARANTEE OF EXPERIENCE OR OUTCOME
Travel is inherently subjective.
LDTG does not guarantee weather, destination conditions, hotel service levels, individual enjoyment, interpersonal compatibility, wildlife sightings, specific experiences, or other subjective outcomes.
Photos, videos, descriptions, and promotional materials are intended to represent the type of experience offered but do not guarantee identical conditions.
30. ELECTRONIC COMMUNICATIONS
Travelers consent to receive booking-related communications electronically, including by email, client portal, text message, or other electronic systems used in connection with their reservation.
Travelers are responsible for maintaining accurate contact information and reviewing communications regarding their trip.
31. ELECTRONIC SIGNATURE & CHECKOUT ACCEPTANCE
By checking the applicable acceptance box, electronically signing, submitting a booking or payment authorization, and/or completing checkout, the traveler acknowledges that they have had the opportunity to review and accept:
- These Lyric’s Destinations Travel Group, LLC Terms & Conditions;
- Applicable supplier terms and conditions;
- The payment and deposit requirements applicable to the booking;
- Applicable cancellation and refund restrictions; and
- Any specifically disclosed non-refundable amounts.
Electronic acceptance shall have the same force and effect as a handwritten signature to the extent permitted by applicable law.
LDTG may retain records of electronic acceptance.
32. GOVERNING LAW & VENUE
These Terms & Conditions shall be governed by and construed in accordance with the laws of Virginia, without regard to conflict-of-law principles.
To the extent permitted by applicable law, any legal action, claim, or proceeding arising out of or relating to these Terms, LDTG’s services, or a booking shall be brought in the appropriate state or federal court located in Chesterfield, Virginia and the parties consent to jurisdiction and venue therein.
33. SEVERABILITY
If any provision of these Terms is determined to be invalid or unenforceable, the remaining provisions shall continue in full force and effect to the extent permitted by law.
34. ENTIRE AGREEMENT & NO ORAL MODIFICATIONS
These Terms, together with the applicable booking confirmation, invoice, payment authorization, trip-specific conditions, and supplier terms, constitute the agreement governing the travel services.
No employee, advisor, group leader, contractor, or other representative may waive or modify these Terms except through an authorized written agreement.
35. ACCEPTANCE OF TERMS
By submitting a booking, registration, payment authorization, electronic signature, or checkout transaction, the traveler confirms that they have read, understand, and agree to these Terms & Conditions.
The individual completing the booking is responsible for ensuring that all travelers included in the reservation receive access to applicable terms and travel information.
